    What is the workflow?

    When a workflow starts, the first task is sent to the assigned user or group. Once that task is finished, the next step is assigned, and this continues until the workflow is complete. For requests involving Open Text resources, the workflow first goes to the initiator's manager for approval. The manager must approve the request before it can move to the next step.

    To access your assignment area, select Personal from the menu. -> Assignments

    When you receive a request for approval, you must open the workflow and carefully review all attributes, comments, and attachments. If the request is from a direct report, it should not be a surprise, as you should have already discussed it with them. Always verify the contents of the workflow before giving your approval.


    If an email is for notification only, no action is required. Simply send the workflow on to clear it from your assignment area. This won't stop the workflow from moving to the next step.

    If the workflow needs your action, first verify that all information is correct. Don't make assumptions. You have the right to reject any workflow if the content isn't clear, specific, and appropriate.

    Workflow Action Items

    • Approval/Rejection: If a workflow requires approval, it will be routed to the assigned approver. An email notification is sent to the approver, who must review the workflow's details before choosing to approve or reject it. The workflow then moves on to the next step.
    • Performing an Action: If a workflow requires a specific task—like creating an account—it will appear in the assigned person's or group's assignment area. After performing the required action, you must click the "Send On" button to move the workflow to the next step.
    • Reporting and Notification: If a workflow step is only for notification, it will still appear in the assignment area and an email will be sent. However, the workflow does not wait for input and will continue to the next step automatically.
